Booking Terms

 

 

All clients travelling with GRG's Adventure Kayaking will be required to sign a disclaimer before partaking in the trip. You declare that the information provided on this form is true as you know it to be. If you still have doubts, questions or need any points clarifying, please feel free to contact us, your peace of mind is our main priority. By making a booking with GRG's Adventure Kayaking you agree to accept all of the following Terms and Conditions;

 

How to book - To book, you can contact us by phone or email. You will need to complete a booking form and pay a non-refundable 25% deposit of the full trip cost. GRG's Adventure Kayaking will not be held liable for any problems that may occur from incorrect information that is provided.

 

Changes in price - All prices quoted are accurate on the date of correspondence however we reserve the right to change our prices full payment is received. Quotes given are valid for three days from given date only. The price of a trip is based on the current exchange rates, supplier pricing or general economic fluctuations at the time of pricing. GRG’s Adventure Kayaking reserves the right to alter prices at any time to coincide with these changes.

 

Payment – Is subject to the tour you are doing and payment information will be provided along with your quote. A non-refundable depost of 25% of the total fee must be paid to secure a place on your trip. Deposits can be made via Paypal or direct bank transfer. Payment options will be discussed with you prior to your booking.

 

Booking amendments - We are very flexible at GRG’s Adventure Kayaking and we certainly want to make the best holiday that suits you, but for economy and booking purposes, we have to impose the following-
•           We cannot change any part of your itinerary within ten days of your departure
•           Should you decide to change the tour you want to go on, we can happily do that no later than 30 days prior to the trips departure and subject to availability. Payment for the difference as well as fees that are applicable with any charges levied by hotels, ground operators or airlines must be made within 10 days of the change. In the case of you choosing a cheaper trip, we will either donate the difference to the charity of your choice, or you can use the sum as credit towards one of our add-on trips (excludes Bhutan).
•           Once a deposit is made on Tibet and Bhutan tours they are not changeable by you the passenger.

 

Cancellation by you - Loss of money paid applies to all cancelled reservations. The date of trip cancellation is the date on which the written cancellation is received by GRG’s Adventure Kayaking. The loss of money paid per person is as follows.
•           Between 30 and 59 days prior to trip departure, 50% of total booking cost.
•           Less than 30 days prior to departure, 100% total booking cost.
No refunds will be made if you voluntarily leave a trip for any reason, after the trip has began. Refunds will be at the discretion of GRG’s Adventure Kayaking, if you are involuntarily forced to leave a trip for any reason. No refunds will be made for any accommodation, transport, sightseeing, meals or services not utilized. Please note that these conditions apply to GRG’s Adventure Kayaking land content only. Different fees may apply to Airline Tickets. We strongly advise you to take out cancellation insurance.

 

Cancellation by the organiser - GRG’s Adventure Kayaking reserves the right to cancel any trip before it is guaranteed to run, but will not cancel a tour less than 60 days before departure, unless the direct safety of our passengers is affected. A trip is guaranteed to run once it has the minimum number of fully paid passengers, if we do not achieve this then we reserve the right to cancel the tour. This applies to departures within the validity range. GRG’s Adventure Kayaking reserves the right to cancel any trip including a guaranteed trip, at any time prior to departure due to terrorism, natural disasters, political unrest or other external events that if continuing our planned itinerary puts YOU or GRG’s Adventure Kayaking staff in immediate danger. If we cancel a trip on which you are holding a fully paid booking, you may choose between an alternative trip, or a full refund. But we are not responsible for any incidental expenses such as visas, vaccinations, non refundable flights or loss of enjoyment that you may have occurred as a result of this booking.

 

Change of Itinerary - Though we try to make our tours run smoothly, we certainly are not gods and can’t control everything. Sometimes we are forced to change our itineraries on the spot due to circumstances out of our control. In this case we will make every effort to follow the program as closely as possible but do ask your patients when it comes to sudden changes of transport, delays or other such things that make travel so much more interesting! We will make every effort to inform you about spot changes as soon as possible. We cannot be held liable to any alterations made to a trip.

 

Guides Discretion – Some of our trips are adventurous and challenging. Especially in the case of trekking, our guides have full discretion to decide if you can progress or not. In the case of heavy weather, perceived dangers or your deteriorating health, our guides have the right and our backing to change routes, impose rest days or turn back. It’s very, very import that you take heed to advice given by your guide in such circumstances, we pay and train them to be professional and we rely heavily on their local knowledge and expertise in the Himalaya. The decision of your tour leader is final and if, in the opinion of your guide you are putting yourself or others at risk or harm or injury you may be asked to leave the tour.

 

Adventure Travel - When booking with GRG's you are agreeing to take part in adventure travel in remote areas, within developing countries. Many of the places we travel will not have the level of health and safety that we are used to in the developed world. Transport can be uncomfortable and unreliable, and hotels may not be to the standard you may expect. We take every precaution to ensure the safety of all our travellers however by undertaken any of our tours, you are assuming the risk of any injury, including death and GRG's Adventure Kayaking and/or its employees, agents, subcontractors and suppliers cannot be held responsible for any injury caused to you. We accept your booking on the understanding that you realise the hazards involved in this type of holiday.

 

Errors or Omissions - Although we have made every effort to verify the accuracy of the information given to you prior to booking a tour with GRG's Adventure Kayaking we cannot be held responsible for any error, omission or unintentional misrepresentation that may occur.

 

Health - You MUST inform a member of GRG's Adventure Kayaking of ANY health concerns you have BEFORE the start of your tour. In making a booking with GRG's Adventure Kayaking, you confirm that you and all members of your group are fit to partake in this tour. We reserve the right at any time to ask you to produce a Doctor's Certificate of Fitness before or after booking to prove you are in good enough health to join our tours.

 

Insurance - A condition of booking with GRG's is that you must have personal travel insurance. As a minimum, it is compulsory for you to be covered for medical expenses and emergency repatriation before you can participate in any of our tours. To cover yourself further, we also recommend that your policy covers personal liability, curtailment and loss of luggage and personal effects as well as cancellation fees. Please read the fine print on your policy and make sure that it covers adventure sports and emergency mountain evacuation if these items are included in your itinerary. All luggage and personal effects are at all times your own responsibility. You must also hold a valid passport and appropriate visas

We will need to have a copy of your policy and its number including emergency contact number of the insurer, which we will collect at the commencement of your trip; you will not be allowed to continue without this information.

 

Equipment Hire - When hiring any of GRG's Adventure Kayaking's equipment you are 100% responsible for any damage or loss to the equipment that occurs while in your possession. If any equipment is lost or damaged, you are then responsible to repair the damage, replace the equipment or give money to the value of the item.

 

By making the reservation for a trip with GRG's Adventure Kayaking, you agree to be bound by these Terms and Conditions.
